Planning an event or convention without a checklist is like trying to bake a cake without a recipe—sure, you might end up with something edible, but it’s probably not going to be pretty, especially if your talent in the kitchen is anything like mine. A checklist ensures you don’t forget the important stuff (like, you know, a venue or food for the attendees) and helps you stay on track as you juggle speakers, schedules, and a million other details. So, grab that checklist and let’s make sure your event tantalizes the tastebuds of every attendee, vendor, speaker and industry professional in attendance!

The Importance of an Event Planning Checklist

An event planning checklist is crucial because it keeps you on-task and organized, ensuring no critical details are missed. It paves the way to smoothly execute a successful event by providing a way to track progress, prioritize tasks, and manage all aspects of the planning process (and alleviates the stress associated with worrying about what you forgot in the days before the event…it’s truly the stuff of nightmares and panic-attacks).


A good event checklist provides:

  • Guarantees that all necessary aspects of the event are considered, from speaker arrangements to catering, registration and technical setups
  • Time management; helping you maintain a timeline and deadlines for each task
  • Stress reduction, by systematically addressing all elements, so you can avoid last-minute scrambling

  • Contingency planning; by allowing for the identification of potential issues and a backup plan to address them
